Sensitive Data Protection with Image Redaction

When processing documents and forms containing confidential information, some of the data elements may need to be protected from viewing by the general public after the capture process is completed. Police records, health insurance forms and financial applications are good examples: fields like social security numbers, bank account numbers and personal health details should not be visible in the final published document.

Redaction means removing information from documents before they are published. Permanent Redaction, like that provided by Artsyl's Redaction Module, means that the images are physically altered to not contain sensitive information. There is no way to alter the image afterwards to retrieve the original sensitive data, which would be the case if it were simply an overlay on top of the image. This insures that the data is permanently protected.

The Artsyl Redaction Module is designed for organizations that require redaction on sensitive information on documents and forms that they process. It works as a part of the overall capture workflow. The Redaction Module is available for both SimpleCapture and docAlpha.

Redaction can work in fully automatic mode or involve verification by an operator based on the workflow settings. After the operator confirms redacted zones, the permanent redaction ensures that nobody can tamper with the document and reveal the original sensitive data. Three modes of redaction are available: black-out, white-out and replacement text.

With this solution in place, organizations can identify areas on the documents where confidential information exists, such as Social Security Numbers, Addresses, Birth Dates, Names, Credit Card Numbers, etc. Artsyl’s Redaction Module helps organizations to comply with legal requirements and regulations such as HIPAA, Sarbanes-Oxley and other.

In the past, Le Groupe A&A could expect to spend 3-5 days to train someone to operate its software system. Now, with SimpleCapture Pro, the process can be done in 5-10 minutes. “It’s that easy,” explained Laurin.

In the past, the process of ensuring accuracy had been a very tedious and expensive one. With SimpleCapture Pro, Laurin discovered that “The accuracy, speed, and adaptability of this program are the best I’ve seen so far. It allows us to very easily train an operator to utilize the program and then it reduces the operator time by 80 percent,” Michel Laurin, Vice President, Le Groupe A&A.

Invoice Processing Automation with SimpleCapture -
No Templates Required

Most invoice capture applications require templates which tell the software where to find the data. However, John P. says that their logistics company receives so many different invoice formats, a template-based capture product wouldn’t be feasible. “SimpleCapture was easy to set up and use and it was far less expensive than the alternatives we evaluated,” says Vice President of Finance John P.
