CPower Goes Paperless with the docAlpha Smart Process Platform

CPower relies on docAlpha to intelligently extact data from AP Invoices, integrating with their Dynamics GP ERP and PaperSave ECM to create an automated, end-to-end process

When Baltimore-based CPower, an energy management company dedicated to helping businesses optimize how they use energy decided to take their accounts payable operations in house, they decided to apply the same level of rigor to optimizing the energy and resources they spent on processing vendor invoices. That meant deciding to go paperless and to put the systems and processes in place to automate the handling of invoices, along with the review/approval process and the entry of payables data into their ERP system.

To achieve their goals, CPower relied on Microsoft Dynamics GP as their ERP system and invested in the PaperSave enterprise content management (ECM) system to manage their documents. While Dynamics GP did a good job of managing structure payables data and transaction records and PaperSave provided a secure and reliable platform for vendor invoices and other documents, the company wanted to eliminate the bottlenecks associated with manual document filing and data entry to create a truly automated solution that would scale as the company continued to grow.

To achieve a truly automated, paperless process, CPower chose the Artsyl docAlpha smart process platform. With docAlpha, Cpower’s accounts payable specialist Shanelle Hunter didn’t have to waste time on filing documents into PaperSave or keying information into Dynamics GP. docAlpha ‘read’ scanned paper and native digital invoices to extract key information. Integration with PaperSave meant that documents could be filed and indexed automatically. Integration with Dynamics GP ensured that the extracted data could be validated against existing vendor records.

“[docAlpha] contributes because it keeps our process paperless,” Hunter said. “I don't have to worry about a bunch of documents everywhere and losing an invoice.”
